POSITION SUMMARY: Reports directly to the Executive Director, manages and coordinates American Whitewater’s business operations and satellite locations, bears responsibility for multiple fiscal sub-units and functions, which may include budget preparation and control, human resources administration, accounts payable, accounts receivable, contract and grant accounting, business resources and assets, cashiering, bookkeeping, preparing the annual report, and/or recordkeeping for the annual audit.

DUTIES AND RESPONSIBILITIES:

  1. Manages the daily financial activities of the enterprise, which include budget preparation and control, accounting, purchasing, and business planning and management; ensures compliance with AW policies and procedures, state, and federal regulations.
  2. Manages human resources administration, which includes filing of work plans, recording leave, processing payroll, overseeing training, and problem resolution.
  3. Manages cash, cash-related receipts, accounts receivable and credit and collection functions, ensuring timely processing of billings, payments, and collection of program revenue.
  4. Coordinates, designs, and implements internal financial reporting systems, financial controls, and management information systems.
  5. Develops and implements systems to maintain records on employees, equipment inventories, and compliance activities for annual audits.
  6. Prepares, with the Executive Director, budget requests, operating budgets, and formal budget revisions as required.
  7. Prepares monthly program and transaction reports.
  8. Coordinates the preparation of reports of disbursements, special analyses, and information reports for management; presents recommendations for changes and/or improvements, monetary control, and adherence to budgets.
  9. Evaluates and/or negotiates contracts for the purchase of services.
  10. Maintains current information as to trends and developments in business; presents recommendations for marketing of programs.
  11. As appropriate to the needs of the organization, may oversee office operations and/or auxiliary enterprises such as shipping and receiving, order fulfillment, postal services, and printing services.
  12. Develops or assists with the development and implementation of policies and procedures consistent with those of the organization to ensure efficient and safe operation of the unit.
  13. May coordinate financial aspects of research proposals, contracts, and sub-contracts, including the development of budget, proposal preparation, and adherence to funding requirements.
  14. Participates in development, implementation and maintenance of policies, objectives, short-and long-range planning; develops and implements projects and programs to assist in accomplishment of established goals.
  15. Supports the organization at various festivals, fund raising events, and bi-annual board meetings.
  16. Writes for the AW Journal and website on business matters of interest to membership.
  17. Performs miscellaneous job-related duties as assigned.

MINIMUM JOB REQUIREMENTS:

Bachelor’s degree with 3 to 5 years experience directly related to the duties and responsibilities specified.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Knowledge of cash management principles and/or procedures.
  • Knowledge of procedures involving procurement, travel, and/or employment.
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Knowledge of auditing policies, standards, and procedures.
  • Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections.
  • Knowledge of management principles and practices.
  • Knowledge of contracting process and associated local, state, federal, and other regulations.
  • Knowledge of marketing strategies, processes, and available resources.
  • Ability to communicate effectively, both orally and in writing.
  • Knowledge of faculty and/or staff hiring procedures.
  • Ability to foster a cooperative work environment.
  • Ability to develop and maintain recordkeeping systems and procedures.
  • Knowledge of computerized information systems used in financial and/or accounting applications including QuickBooks.
  • Skill in budget preparation and fiscal management.
  • Knowledge of finance, accounting, budgeting, and cost control procedures.
  • Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
  • Ability to effectively communicate accounting information, policies, and/or procedures in a manner easily understood by the customer.
  • Ability to develop, plan, and implement short- and long-range goals.
  • Ability to develop financial plans and manage resources.
  • Skill in the use of computers, preferably in a PC, Windows-based operating environment, and willingness and ability to learn how to manipulate unfamiliar programs.
  • Knowledge of software to quantify and illustrate complex financial reports, comparisons, impacts, and/or projections.
  • Knowledge of accounts payable procedures and practices.
  • Knowledge of current business issues and trends.
